For a highly qualified position as an administrative assistant stationed in Geita, Tanzania, Columbia University’s ICAP, a leader in global health housed inside the Mailman School of Public Health in New York City, is currently accepting applications.
The region’s administrative assistant is in charge of helping with front desk and general office tasks, such as supporting the administrative officer in planning fuel, staff travel, meetings, and field activities, and making sure that day-to-day administrative matters are taken care of appropriately.
Responsibilities:
- Oversee the front desk and give personnel and guests excellent customer service.
- Help program teams collect participant attendance records and receipts, then forward them to the administrative officer for additional handling.
- Make sure the training materials are ordered, available, and delivered to the location on schedule. Arrange for the purchase of the required stationery.
- Help in organizing meetings and office activities
- Arrange the timetable for using the conference room and arrange the space by positioning the laptop, LCD, and pointer as needed.
- Official correspondence should be sent to the correct address outside the workplace.
- Get the mail from the post office, then get it ready to be distributed.
- Keep an eye on the office’s cleanliness and keep track of the cleaning materials that vendors send on a monthly basis.
- Monthly utility payments for follow-up, including DHL, phone, and water bills.
Qualifications:
- A business administration bachelor’s degree or diploma is required.
- Experience Requirement: A minimum of two years of relevant job experience, preferably with front desk and customer service experience.
- Capacity to function under pressure
- Strong grasp of business and commerce
- Competent with Microsoft Office (Word, Excel, PowerPoint, Project Scheduler), the internet, and email
- Fluent in both English and Kiswahili
- Accustomed to operating in a multicultural setting
- Knowledgeable about environmental aspects and safety in telecommunications
- Capacity to promote team-oriented objectives.
