Responsibilities:

  • Make sure the Shule Bora workplace is a safe place to work by doing regular tasks.
  • Compile inventory records for office supplies every week.
  • Performing general office tasks at the operations manager’s request
  • Assist with the procurement processes.
  • Communicate with the finance team about supplier and vendor payments.
  • Maintain meticulous documentation of the Program Asset & Inventory Registers.
  • Encourage the delivery of all items, including printed documents, as planned.
  • Build strong working relationships with suppliers and make sure that maintenance agreements are in place for things like generators and ICT equipment, among other things.
  • Providing administrative and other support to sub-consultants
  • Overseeing mobile communications (phone credit, office phones, internet, etc.)
  • Oversee the scheduling of meeting rooms and make sure they are arranged appropriately.

Skills:

  • Demonstrated expertise in a managerial or operational capacity
  • Highly preferred is financial experience, such as facilitating payments and managing petty cash.
  • In resolving logistical issues in Tanzania and engaging in negotiations to guarantee effective resource usage
  • Event planning expertise, including handling reservations, invites, advertising, printing, and last-minute needs
  • The capacity to set priorities and perform under duress.
  • Capacity to operate in a cooperative team environment.
  • Adept with Microsoft Office products, especially Word, Excel, and PowerPoint
  • Exceptional organizational abilities, dependability, and moral standards observance
  • Excellent communication skills both in writing and speaking
  • Proficiency in spoken and written English; preference for Kiswahili.

Experience

  • Familiarity with public sector (government) procedures, such as requesting high-level officials or sending invitations to events
  • Working experience in multinational teams on donor-funded programs

Knowledge

  • A basic understanding of Tanzania’s educational system
  • Possession of writing skills in both Swahili and English
  • Ability to write in both Swahili and English for processes and procedures

Qualification:

  • A bachelor’s degree in related fields such as logistics or administration studies.
