Private Agriculture Sector Support Trust (PASS Trust)

The principal point of contact for both internal and external stakeholders, the administrative assistant’s job is to provide complete administrative support. In order to support the goals of the Trust, the job holder will make sure that office operations run smoothly, that communication is clear, and that tasks are efficiently coordinated.


  • As soon as visitors arrive at the Trust’s offices, extend a warm greeting and see to their needs.
  • Handle incoming calls, forward them to the right person or division, accurately take messages, and give callers the information they require.
  • Respond quickly and professionally to all incoming and outgoing mail, emails, and phone calls. Distribute and escalate as necessary.
  • Arrange lodging, travel, and meetings for the staff and the Board of Trustees as needed.
  • Organize meetings, appointments, and conference room reservations at the Trust’s headquarters.
  • Oversee the Trust’s equipment and office supplies, making sure they are functioning and readily available (purchase, upkeep, and repair).
  • As a user in the system, start all office procurement requirements.


  • A business administration diploma, a bachelor’s degree in secretarial sciences, or a diploma in records management are all available.
  • Two (2) years of verified experience in secretarial or administrative support positions.
  • Expertise in high-level support and executive schedule management.
  • Knowledge of office administration policies and procedures.
  • Knowledge of organizing projects, activities, or gatherings.
  • Familiarity with pertinent data and document management software.
